Privacy Policy

Sun City Legal Services handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect when you order a report or contact us, why we collect it, and who we share it with.

What we collect

We collect only the information we need to prepare your report and to contact you about it.

  • Your name, email address, phone number and postal address.
  • Your company or firm name, where you order on behalf of one.
  • The scheme and property details you give us, including the CTS number.
  • Any documents you upload in support of a request.
  • Records of your orders, their status, and our correspondence with you.

How we use it

We use your information to prepare and deliver the report you have ordered, to contact you about that order, to issue an invoice or receipt, and to meet our record-keeping obligations.

We do not sell your personal information, and we do not use it for marketing without your consent.

Who we share it with

We disclose personal information to the service providers we rely on to run this business, and to the Body Corporate or its manager where that is necessary to carry out the records inspection you have asked for.

  • Stripe, which processes card payments. We do not store your full card details.
  • Resend, which delivers our transactional email.
  • Our hosting and database providers, which store the site and your order records.
  • Aminos, which provides the chat widget on this website.
  • Xero, which we use for invoicing and accounting.
  • The Body Corporate, its manager, or Titles Queensland, where the inspection requires it.

Storage and security

Your information is stored on servers operated by our hosting providers and is protected by access controls appropriate to its sensitivity. Some of these providers store or process data outside Australia.

No method of transmission or storage is completely secure. We take reasonable steps to protect your information, but we cannot guarantee absolute security.

Cookies and website data

We do not use advertising or cross-site tracking cookies. When you sign in to the client portal we set a session cookie so the portal knows you are signed in; signing out clears it.

The chat widget on this site stores a small identifier in your browser so a conversation survives a page reload. You can clear both at any time through your browser settings.

How long we keep it

We keep order records and the reports we prepare for as long as we need them for the transaction and to meet our legal and professional record-keeping obligations.

Uploaded attachments are removed from our file storage seven days after upload once they have been copied into our document system. When information is no longer needed, we destroy it or de-identify it.

Access and correction

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. We will respond within a reasonable period.

Complaints

If you believe we have mishandled your personal information, contact us first and we will investigate. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
